Cancellation Policy

Terms and Condition

Before participating in our courses, please familiarise yourself with the following terms and conditions. Our commitment to providing quality training is accompanied by a set of policies designed to ensure fairness and transparency for all involved parties. Take a moment to review the details below to enhance your understanding of our procedures and expectations. Your cooperation is greatly appreciated. We reserve the right to change/update our terms and conditions without prior notification.

Cancellation policy

Due to the high volume of requests for the use of our facilities, OxSTaR enforces a strict cancellation policy. This applies to all external courses and will be negotiated for those courses within the Oxford University Hospitals NHS Foundation Trust.

Cancellations or change of date

Our policy is designed to ensure fair treatment for both parties involved. Should you wish to cancel or reschedule the course due to unforeseen circumstances, the applicable charges are outlined as follows:

  • 2 months or more prior to course date: No cancellation charges will be applied, and a full refund will be issued.
  • Between 6-8 weeks prior to course date: A 10% cancellation charge will be applied.
  • Between 2-6 weeks prior to course date: A 50% cancellation charge will be applied.
  • Less than 2 weeks prior to course date: Full course charge will be applied, and no refund will be available.

Please be aware that the percentage mentioned above represents the proportion of the course cost. The escalating scale aims to account for the challenges associated with last-minute cancellations. These charges are intended to cover administrative costs and resources allocated based on the proximity to the course date.

Cancellation procedure

If you would like to cancel the course due to unforeseen circumstances, please notify us as soon as possible via email at oxstar@ndcn.ox.ac.uk. You will receive a confirmation email regarding your cancellation. Should you not receive this confirmation, it is your responsibility to reach out to the centre to discuss and ensure proper notification of the cancellation request. Please be aware that if a booking cancellation with confirmation fails, a cancellation fee may still apply.

Cancellation of courses by OxSTaR

Although we strive to avoid course cancellations, we reserve the right to cancel if it becomes necessary. In such cases, applicants will be promptly informed, and full refunds will be issued.

Please note that OxSTaR cannot be held responsible for any expenses incurred by delegates in the event of a course cancellation. Costs arising from participant commitments, such as travel bookings and accommodation deposits, are non-refundable. We highly recommend obtaining travel insurance or selecting refundable options for flights and hotels to minimise potential losses in the unlikely event of a course cancellation.
